When you connect your WhatsApp Business Account (WABA) via our Meta Tech Provider Embedded Signup button, or when end-users interact with our automated assistants, we receive and process certain data ("Platform Data" and "Personal Data"). This includes:
- User identifiers (Meta User IDs, WhatsApp Phone Numbers, Profile Names).
- Message data (Inbound text queries, prescription images, or structural transactions sent by users to authorized business lines).
- Meta API access tokens and App Secrets necessary to maintain your integration.
2. How We Use Your Data
We process this information solely to maintain, optimize, and deliver our services, including:
- Operating and maintaining our automated conversational systems.
- Authenticating client accounts and handling incoming webhooks.
- Processing utility and transaction notifications (such as order confirmations and prescription status updates).
- Enhancing system security and preventing fraudulent usage.
3. Data Processing and Third-Party Sub-processors
To orchestrate workflows and structure data, PillPortal utilizes trusted third-party service providers. These data processors only handle data on our behalf under strict confidentiality agreements:
- n8n (Workflow orchestration, data routing, and webhook hosting infrastructure based in Germany/EU).
- Cloud Infrastructure Providers (DigitalOcean / Hetzner for secure, encrypted application server hosting).
- Large Language Model (LLM) API Providers (OpenAI, Inc. and Anthropic, PBC based in the United States, used dynamically for intent routing and database structuring).
We do not sell, rent, or lease any collected personal information or Meta Platform Data to third-party advertisers or data brokers.
4. Data Deletion and Retention (User Rights)
We retain your data only for as long as necessary to provide our services or comply with legal obligations. Users and corporate clients can request the permanent deletion of their data at any time.
To request data deletion, please contact us at support@pillportal.co. Upon receipt of a valid request, we will purge all associated user records from our databases and connected sub-processors within 30 days.
